Offsites
Offsites help you plan a team gathering from start to finish: the agenda, who’s coming, the logistics, and the budget. Each offsite moves through a clear lifecycle so everyone knows where things stand.
The offsite record
An offsite captures its name, location, dates, status, a description, an owner, and an optional cover image.
Its lifecycle is:
Draft → Planned → Confirmed → Completed (or Cancelled at any point)
Agenda and sessions
Build the agenda out of sessions. Each session has a title, description, day, start time, duration, and one or more facilitators.
Attendees
Invite people individually, or invite everyone at once. Each attendee has an RSVP state:
- Invited
- Accepted
- Declined
- Tentative
Organizers get a summary of travel responses so you can see who’s confirmed at a glance.
Info and links
Add free-form info items for logistics — accommodation, visa guidance, parking, hotel details, and anything else. Each item has a title, a body, and an optional link.
Budget calculator
Estimate spend before you commit. The calculator works from per-person inputs:
- Air travel
- Food per day
- Transport per day
- Incidentals per day
- Hotel per night
You can also set per-day overrides where costs vary. Budget tools can be delegated to non-admins via the “Offsite planner” capability — see Permissions.
Calendar sync
Publish the offsite’s sessions to your company calendar or Google Calendar so they show up alongside everything else. See Calendar for how syncing works.
My Offsites (the attendee view)
People you invite see the offsites they’re attending under My Offsites, where they submit their own travel details:
- Arrival and departure times and details
- Accommodation status and notes
- T-shirt size
- Whether they’re traveling with family (and the details)
- Dietary notes
- Any additional notes
Access
Organizing offsites is admin-only by default. Any team member can view the offsites they’re invited to and fill in their own travel info. To let a non-admin help plan, grant the Offsite planner capability — see Permissions.
